Karlka Recruiting Group has partnered with an established facilities services organisation to engage an experienced Proposal Manager. This permanent position full time is located in their busy Springwood QLD office.
About the Position
The Proposal Manager will be responsible for managing the end-to-end development and submission of high-quality EOIs, tenders, bids and proposal responses.
This role will take ownership of proposal planning, governance, stakeholder coordination, content development, review processes and final lodgement. Working closely with business development, operations, estimating, marketing, legal and senior management teams, the successful candidate will ensure all submissions are compliant, professional, persuasive and delivered within required timeframes.
The successful candidate will be a confident proposal professional with strong writing skills, excellent stakeholder management capability and the ability to work under pressure to meet competing deadlines.
Duties
- Manage end-to-end EOI, tender, bid and proposal responses
- Develop and implement proposal plans, bid schedules, review timelines and submission checklists
- Ensure all submissions are compliant, professional, accurate and lodged by required deadlines
- Review tender documentation and identify mandatory requirements, risks, evaluation criteria, deadlines and submission instructions
- Coordinate input from internal stakeholders including operations, estimating, business development, marketing, legal and senior management
- Lead proposal kick-off meetings, review meetings and final document review processes
- Write, review and edit proposal content to ensure clarity, consistency, accuracy and alignment with client requirements
- Conduct interviews or Q&A-style discussions with internal subject matter experts to obtain detailed information
- Manage proposal governance, internal approvals, version control and final sign-off processes
- Maintain proposal templates, brand consistency, document formatting and presentation standards
- Support the development and maintenance of proposal content libraries, standard responses and supporting documentation
- Identify opportunities to improve proposal processes, content quality and submission efficiency
- Support broader business development activities as required
Requirements/Skills
- Previous experience in a Proposal Manager, Bid Manager, Tender Manager, Submissions Manager, Pitch Manager or similar role
- Proven experience managing EOIs, tenders, bids, proposals, RFPs or similar submissions from planning through to lodgement
- Strong written communication skills, including the ability to write, edit and tailor content for different audiences
- Excellent attention to detail, organisation and time management skills
- Demonstrated ability to manage competing priorities and strict deadlines
- Strong stakeholder engagement skills, including the ability to influence and coordinate input from senior stakeholders
- Experience developing bid plans, review processes, submission schedules and compliance matrices
- High level proficiency with Microsoft Word, PowerPoint and general Microsoft Office programs
- Experience managing document templates, formatting, branding and presentation standards
- Experience with Adobe InDesign, proposal automation software, content libraries or AI tools will be highly regarded
- Experience in facilities services, cleaning, construction, property, infrastructure or similar industries will be beneficial but is not essential
- APMP qualifications or bid/proposal-related training will be highly regarded but are not essential
