About the company
Karlka Recruiting Group has partnered with an established facilities services organisation to engage a Proposals Coordinator. This permanent position is located in their busy Springwood QLD corporate office.
About the Position
The Proposals Coordinator will support the development and submission of high-quality EOIs, tenders and proposal responses.
This role will be responsible for coordinating deadlines, gathering information from internal stakeholders, writing and editing content, managing supporting documentation and ensuring submissions are professional, compliant and lodged on time.
The successful candidate will have strong written communication skills, excellent attention to detail and the ability to coordinate multiple moving parts across a busy business development environment. This role would suit someone with experience in tender coordination, proposal support, bid administration, submissions, business development administration or complex document coordination.
Duties
- Coordinate and support the preparation of EOIs, tenders, bids and proposal submissions
- Assist with bid programs, submission timelines, review processes and action tracking
- Ensure deadlines are met, including final lodgement requirements
- Act as a key point of contact for internal team members during the EOI/tender process
- Coordinate information and actions from internal stakeholders within required timeframes
- Write, review and edit proposal content to a high standard
- Conduct interviews or Q&A-style discussions with internal stakeholders to gather detailed information
- Work closely with team members including estimators, business development, operations, partners and senior management
- Liaise with internal teams including marketing, legal, executive and business development as required
- Manage or co-manage documentation uploads using SharePoint or similar systems
- Maintain company data, content libraries, CVs, project information and other tender-related materials
- Support the visual presentation, formatting and compliance of submissions
- Assist with broader business development and administrative activities as required
Requirements/Skills
- Previous experience in a Proposals Coordinator, Bid Coordinator, Tender Coordinator, Submissions Coordinator, Business Development Coordinator or similar role
- Experience supporting EOIs, tenders, bids, proposals or complex business documents
- Strong written communication skills, including the ability to write, edit and refine content
- Excellent attention to detail, formatting and document presentation skills
- Strong organisation, time management and deadline management skills
- Ability to coordinate input from multiple internal stakeholders
- Confident communication skills and the ability to follow up actions professionally
- High level proficiency with Microsoft Word, PowerPoint and general Microsoft Office programs
- Experience using SharePoint or similar document management systems will be highly regarded
- Experience maintaining content libraries, templates, CVs, project profiles or standard response material will be beneficial
- Experience in facilities services, cleaning, construction, property, infrastructure or similar industries will be beneficial but is not essential
