About the company
Karlka Recruiting Group has partnered with an established facilities services organisation to engage a Proposal Support Officer. This permanent position is located in their busy Springwood QLD corporate office.
About the Position
The Proposal Support Officer will provide administration, coordination and document support across EOIs, tenders and proposal submissions.
This is an entry to mid-level support role within the Business Development team, suited to someone with strong administration, formatting, document coordination and written communication skills. The role will involve assisting with tender documents, gathering information from internal stakeholders, maintaining proposal content, uploading documentation and supporting submission deadlines.
There will be some writing, editing and basic presentation/layout work involved, however this is not a senior bid writing role. It is best suited to someone who enjoys detailed document work, can stay organised across multiple deadlines, and is interested in building their career in tenders, proposals and business development.
Duties
- Support the preparation of EOIs, tenders, bids and proposal submissions
- Assist with submission timelines, review processes, action tracking and final lodgement requirements
- Gather information and documentation from internal stakeholders within required timeframes
- Assist with writing, editing, proofreading and formatting proposal content
- Update and maintain standard proposal content, templates, CVs, project information and tender-related materials
- Support the visual presentation, formatting and compliance of submissions
- Assist with documentation uploads using SharePoint or similar systems
- Act as a support contact for internal team members during the EOI/tender process
- Work closely with team members across estimating, business development, operations and senior management
- Liaise with internal teams including marketing, legal, executive and business development as required
- Maintain organised records, content libraries and company information relevant to tenders and EOIs
- Provide broader administration support to the Business Development team as required
Requirements/Skills
- Previous experience in proposal support, tender administration, business development administration, document coordination, project administration or a similar role
- Exposure to EOIs, tenders, bids, proposals or complex business documents will be highly regarded
- Strong written communication skills, including the ability to proofread, edit and refine content
- Excellent attention to detail, formatting and document presentation skills
- Strong organisation, time management and deadline management skills
- Ability to follow up information from internal stakeholders in a professional manner
- High level proficiency with Microsoft Word, PowerPoint and general Microsoft Office programs
- Experience using SharePoint or similar document management systems will be highly regarded
- Experience maintaining templates, CVs, project profiles, content libraries or standard response material will be beneficial
- Experience in facilities services, cleaning, construction, property, infrastructure or similar industries will be beneficial but is not essential
- Ability to work on site full time – no WFH available
