Karlka Recruiting Group has partnered with a Federal Government Agency to engage an Project Admin Support Officer. This position is located in their busy Canberra office for an initial for ASAP/ Immediate Start.

Duties

  • Manage project reporting (including status reports and schedules), and also client billing according to protocols and contract terms. 
  • Work with each of the project/program stream leads to ensure dependencies are managed and effective stakeholder management.
  • Scheduling of meetings and resources across multiple internal and external teams. 
  • Use and develop tooling to improve project office practices. 
  • Prepare and review project documents, ensuring they’re fit-for-purpose to support, control and manage effective delivery. 
  • File management including file opening and closing, electronic and physical filing. 
  • Document review including use of existing methodology templates to ensure alignment. 
  • Supporting document preparation and amendments. 
  • Manage risk and supporting the teams to build appropriate risk frameworks. 
  • Implement industry best practice and tailored approaches to project 

Requirements/Skills

  • Advanced Word and PowerPoint skills including document creation and presentation. 
  • Strong understanding of collaboration tools including Excel, WebEx MS SharePoint and MS Teams. 
  • Understanding of business management and billing systems. 
  • Excellent verbal and written communication skills. 
  • Shows initiative, solves problems and takes action without prompting.
  • Ability to influence to ensure timelines and outcomes are met 
  • Self-motivated with the ability to prioritise and work autonomously. 
  • Reliability and a high degree of integrity. 
  • Ability to develop and maintain strong working relationships and support meetings and workshops at all levels.
  • Resilience, flexibility, enthusiasm, and the ability to learn quickly.
