Karlka Recruiting Group has partnered with a State Government Agency to engage an Team member – Mail Room Operative. This position is located in their busy Darwin, NT office for an initial contract casual/Part-Time.
Duty Statement
Basic Mail Room Role
Receiving and Sorting Mail: Collect incoming mail and packages, sort them according to department or recipient, and ensure timely delivery.
Handling Outgoing Mail: Prepare and process outgoing mail, including weighing packages, affixing postage, and ensuring they are sent out on time.
Maintaining Records: Keep accurate records of incoming and outgoing mail, including tracking numbers and delivery confirmations.
Booking Couriers In
Scheduling Pickups: Coordinate with courier services to schedule pickups for outgoing packages, ensuring they are collected at the appropriate times.
Tracking Shipments: Monitor the status of shipments, providing updates to relevant parties and resolving any issues that arise during transit.
Managing Courier Accounts: Maintain relationships with courier companies, negotiate rates, and manage accounts to ensure cost-effective and reliable service.
Distribute Mail
Internal Distribution: Deliver mail and packages to the correct departments or individuals within the organization, ensuring timely and accurate delivery.
External Distribution: Coordinate with external delivery services for packages that need to be sent outside the organization, ensuring they reach their destination promptly.
Handling Special Deliveries: Manage the distribution of sensitive or high-priority mail, ensuring it is handled with care and delivered securely.
Basic Admin
Data Entry: Input and update information in databases or spreadsheets, ensuring accuracy and completeness.
Filing and Organizing: Maintain organized files and records, both physical and digital, to ensure easy retrieval of information.
Assisting with Office Tasks: Provide general administrative support, such as answering phones, managing calendars, and assisting with office supplies.
Work Autonomously
Self-Management: Prioritize tasks and manage time effectively to ensure all duties are completed efficiently without constant supervision.
Problem-Solving: Identify and resolve issues independently, using initiative and resourcefulness to overcome challenges.
Accountability: Take responsibility for the quality and accuracy of work, ensuring all tasks are completed to a high standard.
